Hear about problems before the review sites do
Customers leave feedback through a link or a code on site.
Digital Guest Book & Compliance Engine
Collect customer feedback and complaints digitally and keep a full audit trail of who did what, and when.
No card · 2 minutes
Complaints arrive by email, on paper and at the counter, and some get lost.
When a customer says they complained before, we can't find it.
We only hear about a problem once it is on a review site.
Everyday problems of the trade, in the words we hear them. Not quotes from named customers.
How it works
They open a link or scan a code and tell you what happened.
Each entry is recorded, dated and given to someone to answer.
Replies and actions are saved in an audit trail you can show later.
What you get
Customers leave feedback through a link or a code on site.
Every entry is logged with its date, source and owner.
An audit trail records every reply, change and decision.
Open complaints show how long they have waited and who owns them.
Entries are grouped by topic, site and period.
One log covers all your locations, with a view for each.

Yes. You can export your feedback, complaints and audit trail at any time. Your data is yours, not ours.
Digital Guest Book & Compliance Engine is built with UK data protection in mind. You stay the controller of the data you hold about customers who leave feedback, and ApaOne acts as your processor. Our privacy notice and the Technology page explain how we handle and protect it.
No. You pay month by month and can cancel whenever you want. We would rather keep venues and shops by being useful than by a contract.
No. We do the set-up for you and load your locations, categories and response team. Expect days, not months, and an afternoon of your time to check it over.
Yes, and we would rather tell you now. ApaOne shuts down products that don't earn their place. If Digital Guest Book & Compliance Engine were one of them, we would give you notice first and a full export of your data.
Possibly not, and we would rather say so. If one person handles every complaint and you see a handful a month, a bound book with the right headings does the job. Digital Guest Book & Compliance Engine is being designed for venues where complaints arrive by several routes, more than one person replies, or someone outside the business may ask to see how a complaint was handled.
No. It is designed as a feedback and complaints log, not a review management tool. The idea is that guests can tell you about a problem through a link or a code on site, so you hear it and can fix it. It is not being built to filter which guests are invited to review, or to reward reviews. UK rules on fake and incentivised reviews are one reason we keep those separate.
That is the question we most want answered by people who run venues, and it is why the product is at the Validating stage. The design aim is that an entry takes less time than writing in a book, and that guests can leave feedback themselves through a link or a code. Join the waitlist and tell us what would make your team use it on a Saturday night.
The audit trail is designed to record what happened to a complaint: each reply, change and decision, with who made it and when. Its purpose is to show a guest, an insurer or a head office how a complaint was handled, and to stop entries being quietly rewritten. It is a record of the complaint, not a tracker of individual staff. How you use the record with your team is your decision.
Yes, and you should. The product is not available yet: we are testing demand before building further. Our free complaints procedure, complaints log and reply templates work on paper and in a spreadsheet today. If you join the waitlist, tell us which columns or headings you rely on, so that what we build matches the record you already keep.
Your sign-up is also a vote: it tells us this product is worth building next. If it doesn't earn its place, we'll tell you.
